Tournament Setup

There is a very simple 4 step process to create your tournament.

  1. Details
    • Tournament name
    • Select a sport
    • Short description (optional)
    • Select your timezone
    • Start and End dates
    • Game duration
      Used to help the auto scheduler properly assign times to locations
  2. Administrative Contact
    • Name
    • E-mail
    • Phone (optional)
    This information is kept private unless you select to make it public.
  3. Venues

    An additional 4 step process that allows the scheduling to be a breeze

    1. Facility Name & Address
      • Name
      • Short Name (for mobile use)
      • Street Address
      • City, State & Zip
    2. Courts & Fields
      • Name
      • Short Name
    3. Dates

      This is based on your start/end date of the tournament. The times entered help the auto scheduler and schedule verification process.

      • Doors Open
      • First Game Start
      • Last Game Start
      • Doors Close
    4. Other Venue Details
      • Venue Notes (ex: Parking Info, entrance locations, etc.)
      • Venue Type (Indoors or Outdoors)
      • Concessions (Yes/No)
  4. Intial Group Name (optional)

    To start the tournament generation, we set the name of the first group.

Documents

Upload your existing tournament literature for your fans to see.

  1. Once you're on the tournament main page, click the top tab bar "Documents".
  2. Drag & Drop or click within the box to upload your documents for the tournament.

Notifications / Alerts

The alerts system was a very popular request by our admins. It gives you the ability to post messages directly to the website and phone top header of the tournament info page and allow those messages to disappear automatically (through expiration).

Apple & Android EBRACKET App

The alerts also have the ability to become platform specific "Push Notifications". What this means that if your user is using the Apple or Android EBRACKET app, you may send messages directly to their devices alerting them instantly.

How does that work?
  • The user must agree (through the app) to receive the messages ahead of time or else they will not receive them.
  • They may check or uncheck an option on the main page of the app that states, "Allow Admin Message Alerts"

Tournament Admin Alerts

Tournament administrators may send alert notifications directly to your device that they deem important. The messages you receive come directly from them when the tournament name is stated in the message. The messages that they may send are tournament related such as a venue change, schedule change, or other.

EBRACKET recommends to tournament administrators to not abuse this feature and use it only with the greatest respect of their tournaments' fans. They are bound by our Terms in the Addendum A - Messaging System section.

Creating an Alert Message

  1. Once you're on the tournament main page, click the top tab bar "Alerts".
  2. Enter your message in the text box.
  3. Mouse over the blue question marks for additional information regarding that part of the message creation.
  4. The columns on the right show the messages you sent and how to manage (edit/delete) them.

Marketing

We have many different ways for you to get your tournament noticed and visible to the world.

  1. Once you're on the tournament main page, click the top tab bar "Marketing".
  2.  Print Material
    • Many different EBRACKET branded flyers in both portrait and landscape mode
  3.  RSS Scores
    • We offer an RSS feed showing scores specifically for your tournament as a whole or even down to the group level.
    • Multiple variations of the feed are available, like show games that are upcoming, completed or both.
  4.  TV Display
    • We know there are a lot of really great venues out there, they have big HDTV displays and would like a nice clean way to show the tournament info, scores and stats.
    • Multiple variations are available, you select what you want to show on your display, make changes any time.

Publishing

Publishing your tournament is fairly simple. The tricky part is when you make major changes after publishing.

  1. Once you're on the tournament main page, click the top tab bar "Publish".
  2. Publishing Groups
    • You will see a red "Unpublished" list of groups. Check the box next to the group you want to publish the for world to see then click Publish Selected. Credits will automatically be debited from your account.
  3. Unpublishing Groups
    • You will see a green "Published" list of groups. Check the box next to the group you want to unpublish then click Unpublish Selected. Credits will automatically be credited to your account.

      Credits will only be applied if no matchup within the group has been played, once a game has been started or played, then credits are no longer refundable. You will need to contact us for a refund.

  4. Auto Publish Changes
    • When changes are made to a group, the system automatically unpublishes the group to apply the changes. We unpublish because generally there is a cost differential. An auto publish will re-publish your group automatically provided you have enough credits to do so.
  5. Major Changes
    • Scenario: You have a group published and paid for, but you make a change by removing a team that can no longer make the tournament. Once you re-arrange your bracket or pool section, the group is automatically unpublished and credits are refunded to you. You must make your changes, then re-publish that group. As stated within the Auto Publish section above, any changes that occur within the group will automatically trigger an unpublish, you must go back and publish your group.
